Backlog Evaluation

After identifying a client who may need new features/adjustments, we must follow this SOP

It can be a full project, small task, etc
This process is important to delegate between team members and availability to guarantee quick responses

  1. Drive Folder & Documents
    In the Folder “Business Development” > “To Prepare“, add the project folder with the Excel Template and a Word description first meeting 

  2. CRM
    Add the lead/prospect in PipeDrive with all the details – name, contact person, email, phone, website, linkedin, etc

  3. Trello Task
    The person who received the request must open a task in the correspondent Business Dev Trello > Here
    The task must have a Title, Quick Description, Client Name, Labels (tech stack) and the Google Drive Folder link

  4.  Slack share
    After opening the task, share the task link in the slack channel (business-development).
    Ask for help and for an assignee, mentioning the best date to have the proposal finished.
    The assignee must take the task ownership and define the date when he can deliver the analysis and estimation.

  5. Estimation process
    Research the current client solution
    Create a workshop meeting with the team who developed or worked in the solution to identify possible improvements and new features
    Fill the Excel Template with the estimations, together with the team
    Research time spent must be included in the proposal (but not described for the client)
    In the google drive folder or trello task, add all the relevant information.

    If the request is related to a Maintenance Plan, include the hours in that plan. If it is an additional request, a separate proposal needs to be made.

  6. Prepare the next step
    Send a slack message in the group so others can validate.
