Good Practices
π΅ Booking Vacations

Submitted via the app DayOff with your login details by the end of March of the current
year;
π When booking on the App, please note that there are several categories of “Day off”, such as:

22 vacation days;
-
Birthday day;
-
Child’s birthday;
-
Municipal holiday;
-
Christmas Eve or New Year’s Eve;
-
Marriage leave;
-
Maternity/paternity leave;
-
Previous year’s days;
-
Flex Fridays (8 free afternoons on Friday – need to be interpolated and not consecutive);
-
Sickness;
-
Training;
-
IEFP Internship Award.

The request must be made in advance, with some exceptions, before booking the DayOff. Speak to the responsible project manager in order to be approved in time;

Pay special attention (think twice) if you are with a tight deadline;
-
The same applies to changes in vacation days, which should be communicated as far in advance as possible, in order to coordinate with the other team;
-
Leave from the previous year must be taken by April 30 of the following year.
π΅ Before going on vacation

Provide all files (content/documents/media/access/others), in a place accessible by the other team members (Google Drive or other platform used in the project they are in);

If you interact directly with clients, you must inform the client in advance that you will be absent between in advance that they will be absent between X and Y;

Approximately one to two days before going on vacation, send an email to the team manager, with the status of tasks: pending tasks, in hand, blocks and planned to be followed up upon return;
π The team manager should check whether or not it is necessary to assign the tasks to another team member.

Schedule vacation days/absences also in Google Calendar, to avoid scheduling meetings/events by staff or clients;

Set the status in Slack to “Vacation” until the vacation end date;
π΅ During vacations

Stopping and resting is also necessary. Disconnect from your devices and turn off notifications;

Enjoy the moment, and get to know new cultures and places. Taste the local cuisine and enjoy good wine. And remember, go share some photos!
π΅ Return from vacation

Update Slack status to ON;

Follow-up to emails and notifications received during absence;
-
Setting and adjusting priorities according to events that have occurred;
-
Framework meeting with the team manager (news, deadlines, projects, etc).
π΅ In case of absence for events

Inform, in good time, the team with whom you work directly;
-
If you arrive home later as a consequence of the event, you must inform the team that the next day you will enter later, so that you can rest.
